The Town of Ajax offers some of Durham Region's best and busiest recreation facilities! We have facilities available for you to rent for your private party, meeting, special event or sporting event.

We're here to help you rent a meeting room, community hall, gymnasium, arena, outdoor sports field, park, pavilion or picnic area.

 Things to consider before you book an indoor facility

Looking to book an indoor facility? Consider the following:

  1. What date and time do you prefer? What is your second choice of date/time?
  2. Do you have a location (facility) preference?
  3. How many guests will be in attendance?
  4. Are you playing music and/or dancing?
  5. Are you planning on serving alcohol?
  6. Familiarize yourself with the Facility Rental Terms and Conditions.
  7. Will this event be for youth between the ages of 13 and 17? **

5 Steps to book!

  1. Visit the venue or watch the Virtual Tour.
  2. Contact the Facility Booking Office to check availability.
  3. Complete the Facility Booking Rental Request Form.
  4. Provide payment and sign the permit and rental terms and conditions.
  5. 21 days prior to the event, you must submit a room set-up sheet and liquor license (if applicable). If your booking offered an initial payment, the balance of the rental fee is also due at this time.

The Town of Ajax has many recreation facilities available for use by individuals, groups or organizations.

Rental Fees

All facility rental fees and other applicable charges quoted are resident fees and are contained in the Town's Fee By-Law approved each year by Town Council. 

Rental Fees listed below are effective January 1 to December 31, 2023.

Fees do not include tax, mandatory insurance and music fees (SOCAN/Re:Sound), if applicable.

Non-Resident Fees - a non-resident permit fee will applied to functions/events booked in some Town facilities or on Town property. Proof of residency is required from the individual who will act as the permit holder.  Non-resident fees are non-refundable.

Indoor Rental Terms and Conditions

All Town of Ajax Facility Rentals are subject to the applicable terms and conditions agreed upon by the Permit Holder and all subsequent facility users must abide by them. Violations or refusal by the Permit Holder/Users to adhere to these Facility Rental Terms and Conditions may result in cancellation of a permit and/or refusal to grant any future rental permits for the use of Town of Ajax Facilities.

Rental Terms and Conditions


Some general rental rules to consider:

  • Permit start and end times includes, permit holder set-up and clean-up.
  • Permit covers the indoor space only, and not the green space around the facility.
  • Permit holder must be a minimum of 18 years of age and is responsible for all persons admitted/attending the rental.
  • Permit holder is responsible for leaving the facility in the condition they found it.
  • Permit holder must not use scotch/masking/duct tape or nails/screws/hooks to affix signs/decorations to the walls/floors/ceilings/stage and equipment.
  • Confetti, confetti cannons, balloons filled with confetti/glitter, glitter, glitter cannons/machine, pinatas, rice, silly/fun string, fog machine, smoke bombs/rockets, sparklers, cold sparkler machines, floor decals or any other product that may cause undue floor/facility clean-up are NOT permitted.
  • Jumping castles, ball pits and other inflatable amusement structures are NOT permitted.

Please note that this is not an exhaustive list and other items may not be allowed at the discretion of the Facility Manager.

Methods of payment

Payment can be made by:

  • Cash
  • Cheque made payable to the Town of Ajax (only accepted if more than 21 days prior to the event date)
  • Interac
  • Credit Card (American Express, MasterCard or VISA)

Insurance

All functions/events booked in Town facilities or on Town property require commercial general liability insurance. Insurance fees are in addition to the facility rental fee and are required.

Rates vary and could depend on the type of event, length to time, number of attendees, whether alcohol is being served etc. and the Town reserves the right to determine or amend the insurance requirements based on, but not limited to, risk assessment and event size.

Cancellation and Transfer Policies

Cancellation Policy

Arena Ice and Arena Floors do not receive a refund if cancelled.

Pools: If written request is received more than 21 days before the rental date a $40.90 + HST Cancellation Fee is charged, and the remainder of the fees are refunded.  If the written request is received within 21 days of the rental date, only the insurance fees are refunded, if applicable.

Gymnasiums: If written request is received more than 21 days before the rental date a $40.90 + HST Cancellation Fee is charged, and the remainder of the fees are refunded.  If the written request is received within 21 days of the rental date, only the insurance fees are refunded, if applicable.
Contract Permits - Gymnasiums: If individual booked dates within a gymnasium contract permit are cancelled, at any time, a $10.00 + HST fee per booked date cancelled will apply.

Community Halls, Rooms, and Pavilions:

  • Written cancellation requests are required.
  • Initial Payments (or the value of) on Daily, 8-12+ hour rentals are non-refundable
  • Non-resident fees are non-refundable
  • Cancellation Fee = $42.70 +HST

Community/Meeting Rooms - ACC Admirals, ACC Captains, ACC Carruthers, ACC Duffins, MCC Community Room 1 and MCC Community Room 3, ARC Studio, ARC Community Room 

If more than 21 days before the rental date the Cancellation Fee is charged, and the remainder of the fees are refunded.
If within 21 days of the rental date, only the insurance and music fees (SOCAN/Re:Sound) fees, if applicable, are refunded.

Community Halls and Pavilions - Ajax Community Centre HMS, ACC Commodores, McLean Community Centre, Hartrick House, Quaker Meeting House, St. Francis Centre, Carruthers Marsh, Greenwood Discovery and Rotary Park

If more than 21 days before the rental date, for 4-7 hour rentals the Cancellation Fee is charged, and the remainder of the fees are refunded. For Daily or 8-12+ hour rentals, the Initial Payment (or the value of the initial payment) is retained, and the Cancellation Fee is not charged.

If within 21 days of the rental date for 4-7 hour rentals only the insurance and music fees (SOCAN/Re:Sound) fees, if applicable, are refunded. For Daily or 8-12+ hour rentals, only the insurance and music fees, if applicable, are refunded and the Cancellation Fee is not charged.

All initial payments are non-refundable.


Community Hall - Audley Recreation Centre - Full Hall or 1A or 2B or 3C

If more than 90 days before the rental date, for 4-7 hour rentals the Cancellation Fee is charged, and the remainder of the fees are refunded. For Daily rentals, the Initial Payment (or the value of the initial payment) is retained, and the Cancellation Fee is not charged.

If within 90 days of the rental date for 4-7 hour rentals only the insurance and music fees (SOCAN/Re:Sound) fees, if applicable, are refunded. For Daily rentals, only the insurance and music fees, if applicable, are refunded and the Cancellation Fee is not charged.


All initial payments (or the value of the initial payment) are non-refundable.

Transfer and/or Permit Modification Policy

Transfers

A rental date or location may be transferred once per permit based on availability and at a cost of $10.80 + HST Transfer Fee, with 21 days' written notice (90 days for the ARC Community Hall or any of its parts). Date or location transfers must be within the same calendar year from the original date booked. The difference in fees as a result of the transfer, if any, will either be charged or refunded.

Date or location transfers are NOT allowed within 21 days of the event date (90 days for ARC Community Hall or any of its parts).

Permit Holders shall not assign or transfer their permit to another user whatsoever.

Permit Modifications

The Permit time can be modified, with 7 days' written notice based on availability and may require Facility Manager approval.

Special Occasion Permit (SOP) & Municipal Alcohol Policy (MAP) and Bar Requirements

An SOP is issued by the Alcohol and Gaming Commission of Ontario (AGCO) and is mandatory for all functions serving alcohol, including beer and wine. 

  • Not all Town facilities allow for the serving of alcohol
  • For all AGCO SOP functions, responsible and reliable “Smart Serve” bartenders(s) and event workers must be 19 years of age and provide a photocopy of their Smart Serve certificates and Identification
  • The bar must close a minimum 30 minutes prior to the end of the permit which shall be no later than 12:30 a.m.

Music Fees (SOCAN and Re:Sound)

Permit Holders for all functions and room rentals using and/or playing music are required to pay Music Fees (SOCAN/Re:Sound) in addition to any other rental fees.  SOCAN represents songwriters, lyric authors, composers and music publishers, while Re:Sound represents performers who played on recordings and record companies that produced those recordings.

Music Fees are based on room capacity size and whether there is dancing or not.

Smoke Free Facilities

Town Facilities adhere to the Smoke-Free Ontario Act and the Durham Region Smoke-Free By-law and do not allow anyone to smoke any tobacco/cannabis type substances, or vape any type substance, in any Town Building or on any Town property where a Town building is located.

The Town strictly prohibits any edible cannabis, or any cannabis infused products, from being brought into or consumed on any Town property or in any Town building.

Waterfront Parking

A waterfront parking management plan is in effect from mid-May to mid-September to manage increased parking on weekends (Saturday & Sunday) and public holidays.  The plan includes paid parking for non-Ajax residents and designated parking areas.  This plan may have an impact on Rotary Park Pavilion and Carruthers Marsh Pavilion.  Permit Holders and rental guests should visit https://www.ajax.ca/en/inside-townhall/by-law.aspx for more information.

Rental Fees

All facility rental fees and other applicable charges quoted are contained in the Town's Fee By-Law approved each year by Town Council. 

Rental Fees listed below are effective January 1 to December 31, 2022.  Fees do not include applicable tax.

Outdoor Rental Terms and Conditions
All Town of Ajax Facility Rentals are subject to the applicable terms and conditions agreed upon by the Permit Holder and all subsequent facility users must abide by them. Violations or refusal by the Permit Holder/Users to adhere to these Facility Rental Terms and Conditions may result in cancellation of a permit and/or refusal to grant any future rental permits for the use of Town of Ajax Facilities.

Rental Terms and Conditions will be provided at time of confirmed rental.
Methods of Payment

Payment can be made by:

  • Credit Card (American Express, MasterCard or VISA)
Insurance 
All functions/events booked in Town facilities or on Town property require commercial general liability insurance. Insurance fees are in addition to the facility rental fee and are required.

Rates vary and could depend on the type of event, length to time, number of attendees etc. and the Town reserves the right to determine or amend the insurance requirements based on, but not limited to, risk assessment and event size.
Cancellation and Transfer Policies

Cancellation Policy

The Town reserves the right to cancel/refund or amend permits for the COVID-19 following instances:

  • Changes to Provincial, Regional or Public Health COVID-19 regulations, measures and requirements may result in the review and cancellation of Permits (i.e. changes to outdoor space gathering sizes, physical distancing etc.)
  • Limit or refuse use of a facility at the discretion of the Town’s Municipal Emergency Control Group and/or the Director of Operations and Environmental Services.


Refunds will be provided if permits must be amended or cancelled for these reasons only.

Refunds will NOT be provided in the event of a COVID-19 positive case amongst the user/permit holder group.

Outdoor Rentals for picnic shelters do not receive a refund.

Transfer Policy

A rental date, time or location may be transferred once per permit to another date, time or location based on availability and at a cost of $10.30 + HST Administrative Fee, with 21 days written notice. Transfers must be booked within a calendar year from the original date booked. The difference in fees as a result of the transfer, if any, will either be charged or refunded.

Permit Holders shall not assign or transfer their permit to another user whatsoever.

Special Occasion Permit (SOP) & Municipal Alcohol Policy (MAP) and Bar Requirements
Alcohol is not permitted at Town of Ajax outdoor picnic shelter/area facilities.
Smoke Free Facilities and Spaces

Town Facilities adhere to the Smoke-Free Ontario Act and the Durham Region Smoke-Free By-law and do not allow anyone to smoke any tobacco/cannabis type substances, or vape any type substance, in any Town Building or on any Town property where a Town building is located.

The Town strictly prohibits any edible cannabis, or any cannabis infused products, from being brought into or consumed on any Town property or in any Town building.

Waterfront Parking

A waterfront parking management plan is in effect from mid-May to mid-September to manage increased parking on weekends (Saturday & Sunday) and public holidays.  The plan includes paid parking for non-Ajax residents and designated parking areas.  This plan may have an impact on outdoor picnic shelter/area facility rentals. Limited parking passes are provided as noted in each facility description.

At this time there are no virtual tours for the Quaker Meeting House or the Audley Recreation Centre Community Hall.  To view these indoor spaces in person, please contact the facility booking office to make arrangements.
